Privacy policy

What Setwerks is

Setwerks is a production management service run by Setwerks, LLC. Producers use it to schedule shoots and send call sheets. Cast and crew receive those call sheets and confirm their call times.

Information we collect

• Account holders: name, email address, password (stored hashed), phone and address if you add them, profile photo, and billing details handled by Stripe. We do not store card numbers.
• Production data you enter: projects, scripts you upload, scenes, schedules, locations, and the contact details of your cast and crew (name, email, phone, department, photo).
• Cast and crew: if a producer adds you to a call sheet, we hold the details they entered about you and your responses (confirmed or declined, with any comment you leave).
• Technical data: server logs with IP address, browser type and timestamps, used for security and troubleshooting.

How we use it

• To run the service: build schedules, generate call sheets and PDFs, and deliver them.
• To send transactional email and SMS: account verification, password resets, call sheets and confirmation links, and replies to the producer when you respond.
• To send a short series of onboarding emails to new account holders. You can stop these from any email.
• To bill subscriptions through Stripe and to keep the service secure.

We do not sell personal information and we do not use production data for advertising.

Email and text messages to cast and crew

Producers send call sheets to the contacts they enter. Messages come from Setwerks on the producer's behalf and carry the producer's name and reply address. Text messages are sent only when the producer chooses to send them, and each message carries a link to the call sheet. If you no longer want messages from a production, tell the producer to mark you as do not call, or contact us and we will remove your details.

Text messages (SMS)

Setwerks sends text messages only to people a producer has added to a production and marked as having agreed to receive production texts. Texts are about that production: call times, schedule changes, confirmation requests and reminders. We never send marketing texts.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with the SMS carrier and provider that deliver the messages.

Reply STOP to any message to stop receiving texts; we record the opt-out and no further texts are sent. Reply START to opt back in, or HELP for help. Message frequency varies by production. Message and data rates may apply. See setwerks.com/sms.

Who we share data with

• Service providers that process data for us: hosting (Google Cloud), email delivery, SMS delivery (Telnyx), payments (Stripe), weather forecasts and map and place lookups (Google). Each receives only what it needs.
• The producer who manages a project can see everything in that project, including crew responses and comments.
• Crew members who open a call sheet see the schedule, call times and names of the other people on it, but not their contact details.

Retention and deletion

Account and production data is kept while your account is active. Projects you move to the trash stay there until you restore them or delete them yourself. You can delete your account from the settings page or by emailing us, and we will remove your data within 30 days except where we must keep records for billing or legal reasons. Cast and crew can ask us to remove their details from any production.

Security

Data is encrypted in transit, passwords are hashed, and call sheet links use unguessable tokens. No system is perfectly secure; tell us right away if you believe your account has been accessed without permission.

Your choices

You can update or delete your profile in settings, unsubscribe from onboarding emails, and request a copy or deletion of your data by contacting us.
